How the Heck Are Automations Going To Help Me In Real Estate?

Learn how to automate your Real Estate work life with four different tools.

Agentic AI, Generative AI, and Automations.

These are the three groups I use to create a framework for the stuff I’m working on.

Automations get the least love (in my opinion) but are super powerful + extremely useful right away because after they’re set up, they require you to do….nothing.

They’re automatic.

Real Estate Asset Managers, Property Managers, Marketers, and more can all benefit from automating parts of their work lives away just like we automate car payments, the coffee machine at 630am every morning, and more.

Have to send a lender a report by the 20th of every month after quarter-end? Automate it. 

Have to send every new approved applicant a lease for signature? Automate it. 

Have to post new content to your property’s Instagram page? You can automate that too.

Zapier, Make.com, Relay and N8N are the top automation tools that allow me to connect a lot of different things to well, a lot of different other things.

Never Heard of Them or Don’t Know What They Do?

Zapier is the most-well known of the four. It’s an automation tool that lets you connect thousands of apps and automate repetitive tasks between them without any coding (which is great cause we’re RE people, not engineers).

You set up simple workflows called "Zaps," where an event in one app (the trigger) automatically causes an action in another app (examples down below).

Make.com is my personal favorite. It’s another powerful automation platform but this one is really more visually appealing and easier to comprehend.

Again, it lets you connect different apps and services to automate workflows and tasks—without any coding expertise.

Relay.app is a modern, no-code automation platform that also lets you visually connect and automate workflows.

It stands out by having more human-in-the-loop functionality like approvals and manual decisions where needed.

n8n is an open-source, low-code workflow automation platform with the flexibility to add custom code.

This one requires you that you know a little bit about code but if you do, it allows you to build more complex & more powerful automations.

So You Want Examples of How to Use These in Real Estate, Huh?

🟣Example #1: Zapier- If you’re drowning in emails (like I used to), this automation can be super helpful.

Step 1: Tag all important senders (like your boss, lenders, top 10 investors and more).

Step 2: Set up this automation (pictured below): anytime an email comes from the “important list”, a draft response gets created by ChatGPT, Claude, or Gemini (I wouldn’t use Grok unless you’re a risk taker) and then gets placed in your draft folder.

Now, at the end of each day (or whatever interval you want), you can check your draft folder and edit/send important responses back out.

This automation helps save time from doom scrolling your own email inbox.✔️✔️✔️

🟣Example #2: Make- I HATED having to download a pdf from my email, save it to my desktop and then have to find the folder/subfolder in Google Drive or Dropbox where I wanted to save it.

Creating an automatic trigger for pdfs (with a bit of training) saves a lot of time doing this manual process.

Connect your Gmail or Outlook, create rules, and then send the pdf to the right place in Google Drive or Dropbox to get automatically saved. Done.

Sounds simple but it’s a huge win for time saving.

🟣Example #3: Relay.App- We all have 10-50 calls/meetings per week.

Sometimes I’d forget I had the meeting to begin with (and would show up minutes late) or I’d have no idea what we planned on talking about (I’m busy okay..)

This automation not only sends me a Slack alert 20 minutes before the meeting, but it also looks up the person on LinkedIn + looks at the email that set up the meeting and creates a quick summary of who the person is and what we’re talking about.

🟣n8n- I don’t personally use n8n just yet as I’ve got my hands full with the other three but as I get more comfortable with building these automations and using platforms like Claude to code for me, I’ll start spending more time here.

Here is a template that is in the n8n library that is great for ACQUISITIONS teams. 

Automatically score a potential new deal based off of criteria you give it. Each deal ends up in your CRM (Hubspot, Salesforce, Excel, etc.) with a score, allowing your teams to just focus on deals that have a higher chance of success.

These are just four examples of thousands of different automations you can set up to save time, allow you to work smarter and most likely, increase revenue for your own business or the one you work for.
